Visual Space manual, Docs, Documents

Documents is the shared library for a space. It brings uploaded files, folders, articles, and supported app files into one place, then arranges them by the same spaces, subspaces, and activities that members already use elsewhere in Visual Space. That shared structure is the important part. A useful image from Chat, a file uploaded for an activity, and an article created for the same work do not need three unrelated filing systems. They can remain close to the community context that gives them m

Documents brings files, articles, folders, and supported app projects into one library. Use it to find a reference, organize a team's work, or reopen something created in another Visual Space app.

Start with where the work belongs. A community's Documents library follows its spaces, subspaces, and activities. My Docs gives you a separate, private place for your own work.

Find Your Starting Point

Open Documents in the space area where the material belongs. The location heading tells you what you are viewing; on desktop, the side panel shows the surrounding areas and folder tree.

•
Browse an activity when you know which conversation or project the file belongs to.
•
Open a folder to see its direct contents, then continue into nested folders as needed.
•
Search the current location by title or keywords when you know what you want.
•
Open My Docs when you want personal material while keeping a community workspace in view.

The selected folder stays visible beside the library, so you can check where your work belongs.

The same area structure connects Documents with the rest of the space. Ordinary folders add organization beneath it, so a project can keep references and deliverables together without inventing a different community map.

Recognize What You Are Opening

An uploaded file preserves the original asset. Images and videos open in a viewer, supported text and PDF files can open in the browser, and other files provide an explicit download action.

An article opens for reading once published. Your article draft returns to its editor. Supported app projects open in their own app, where you can continue working with the appropriate tools.

Folders simply gather these items. They do not grant a new audience: access follows the owning space area, even several folders deep.

Use Files and Previews to understand viewing and original downloads, or App Files and Publishing to choose between an upload, an editable project, and an article.

Make A Busy Library Easier To Read

The Documents options menu offers Sort by, Group by, and View as. Sort by name or date added, group by kind or month, and switch between Grid and List. Folders remain easy to find ahead of files.

Search stays inside the selected location. An empty search result does not prove the file is absent from the whole space; clear the search and check another folder or area. Longer collections load as you browse.

On narrow screens, the persistent side panel disappears and the header becomes compact. Search can expand into the header, while New may appear as a plus button. The current location still matters just as much as on desktop.

Add Work Where People Will Find It

Choose New in the destination to upload files, upload a folder, create a folder, or begin one of the offered app files. Article, Event, Retrospectives, and Whiteboard have different access requirements; the selected experience checks your eligibility.

For uploads, follow the progress tray through to completion. A successful file remains in the destination chosen when its upload began, even if you browse elsewhere meanwhile. An archived activity is available for reference but does not accept these new items.

These guides take you through the full tasks:

•
Upload files and folders, including limits and failed items.
•
Create and publish from Documents, from choosing the destination to checking the result.
•
Organize documents and folders, including moving selected items and reviewing access.

Keep, Share, Or Highlight

Different actions create different results. View Later saves a way back to the existing item. Copy into My Docs keeps a separate personal copy where the document type supports copying. Dragging into Chat prepares a message for review before sending.

Published work can also be selected for Expo or, for eligible articles, Wiki by members with the relevant space permission. These placements help people discover the work; they do not replace its Documents location or override access.

Read Sharing and Revisiting when deciding which connection you need.

Common Questions

Does uploading a file publish an article?

No. Uploading stores the original file. Publish starts a separate article draft that you can prepare before publication.

Are all app projects created from the New menu?

No. The menu offers a specific set of creation choices. Other apps have their own creation flow, and supported saved projects can still appear in Documents.

Can a folder make a public file private?

A folder inherits its space area's access. Choose the right area before uploading or moving sensitive material.

Does opening My Docs change where my next community document is created?

Browsing the panel does not switch the active workspace. Use its Docs button to enter your personal Documents workspace first.
