Documents can hold more than uploaded files. Articles, Events, Retrospectives, and Whiteboards can appear in the same library, close to the folders and space areas where people expect to find them. These entries are app files: selecting one opens the Visual Space experience that owns the content rather than treating it as a generic download. Publishing an upload uses a related but importantly different path. **The uploaded file and the article-style document created from it remain separate libra

Documents holds both original uploads and work created in Visual Space. An app file opens in the experience that owns the content, while an uploaded file remains an asset to view or download.

Publishing an upload creates a separate article draft. It does not replace the original or automatically turn all of its contents into a finished article.

Choose The Right Starting Point

Use an upload when the original file is what people need. Begin an app file when you want to create and continue editing work in Visual Space.

The current New menu offers:

•
Article for a standard article draft, available to signed-in users.
•
Event for a draft event, with coordinator eligibility required.
•
Retrospectives for a board with connected article and discussion, with coordinator eligibility required.
•
Whiteboard for a collaborative board, subject to the space's Whiteboard offering.

The New menu keeps folder creation, uploads, and supported app documents together.

This is not a complete list of apps whose saved projects can appear in Documents. Other apps provide their own creation workflow. Goals are created in Goals rather than this menu.

Check The Destination First

Open the desired space area or folder before using New. The creation flow receives that location so the resulting document belongs with the right work.

Folders inherit their area's access. An archived activity does not accept new app files, uploads, folders, or this publishing flow. Use an active destination where you can contribute.

If you intend to create personal work, first open Docs from My Docs. Merely browsing the personal panel leaves the active community workspace unchanged.

Resume The Right Kind Of Work

Your unpublished draft is visible to you in Documents; other members browsing the same location do not see it as a normal published item. Opening an ordinary article draft returns to the publishing editor. A recognized linked app document opens in its app, including supported app drafts.

Once an ordinary article is published, selecting it opens its reading view. A creative project still needs the tools of its own app. Poly, Canvas, Pixels, and Stage documents can also offer Details from their Documents menu.

For cooperative editing or invitations, follow the individual app's guide. The draft listing rule is not a substitute for that app's collaboration permissions.

Present An Uploaded File As An Article

Choose Publish from the uploaded item's menu to create an article draft and open Publish Document. Give readers the explanation they need: what the file contains, why it matters, and what they should do with it.

Do not assume an office document's formatting, tables, or embedded media have been converted. Inspect the draft and prepare its content deliberately.

After publishing, the library can contain both items:

•
The original file remains available for preview, download, and organization.
•
The article presents the work through the published reading experience.

Moving or deleting either item does not silently move or delete the other. Review both when reorganizing the result.

Publication And Discovery

Publication ends the ordinary author-only draft state and makes the article available to people who can access its area. It does not make a private area public.

Eligible published material can be selected for Expo; eligible published articles can be selected for Wiki. These are separate curation actions with their own space permissions. See Sharing and Revisiting.

Common Questions

Can I upload a Word document and immediately treat it as a finished article?

No. Preserve it as a file or prepare an article draft yourself. Automatic full conversion is not promised.

Why can I create an Article but not an Event?

Creation choices apply different eligibility checks. Events and Retrospectives require coordinator eligibility; Whiteboard depends on its offering.

Why are the upload and article both visible?

One is the source asset and the other is its published presentation. They are intentionally separate.

Does publication grant access to someone outside a private area?

No. Readers still need access to the owning area.

Use Create and publish from Documents for the complete workflow.
