Visual Space manual, Events, Update Event Details And Schedule
Use this walkthrough to keep a published event accurate as plans change. You will update the event article, make only the schedule changes allowed by its current state, and confirm that the article and event card still agree.
Use this walkthrough to keep a published event accurate as plans change. You will update the event article, make only the schedule changes allowed by its current state, and confirm that the article and event card still agree.
Before You Make Changes
The event author can edit the linked event article. A space owner or someone with applicable event-management access can manage eligible events in their area. Other members can read a published event and respond to attendance, but those actions do not grant editing access.
•
Confirm the event - Make sure you are working with the published event you intend to change, in the correct space, subspace, or activity.
•
Decide what must remain stable - Note the current title, keywords, start, and end before changing them. For an event that is underway or finished, the current time determines which schedule controls remain available.
•
Prepare the revised details - Have the new wording, agenda, links, or follow-up notes ready. Keep keywords short and recognizable; they can contain up to 30 characters, while the single-line title can contain up to 300 characters.
Open The Event Article
•
Open Events in the correct area - Use the Events app for the space, subspace, or activity that owns the event.
•
Find the published event - Look among active events if its end time has not passed. If it has ended, look under Completed Events.
•
Open the article - Select the event from its card. The linked article shows the title, keywords, author, schedule, and full event content together.
Checkpoint: the article title and schedule match the event card you intended to update, and the fields you are allowed to change appear editable rather than read-only.
Review the event identity, complete interval, and article context together before changing any field.
Update The Article Details
Editing happens directly in the article. There is no separate editing mode to open before changing the available fields.
•
Refine the keywords - Select the keywords in the header and replace them with a compact theme or summary that helps members recognize the event.
•
Update the title - Select the title and edit it inline. Use wording that still makes sense both on the compact event card and at the top of the article.
•
Revise the body - Place the cursor in the article content and update the agenda, preparation notes, links, live notes, or outcomes. After the event, this is also the right place to preserve useful follow-up without rewriting its historical schedule.
•
Watch the save state - Allow each edit to autosave. The status announces Saving changes, then briefly confirms Changes saved with a check mark. If saving fails, use the persistent failure control to retry before leaving the article.
Checkpoint: the save confirmation has appeared for the fields you changed, and the article now reads correctly without relying on unsaved text.
Adjust A Future Event
Before an event begins, an eligible editor can change both its start and end. The schedule values are inline controls in the event header, so select the displayed date or time directly rather than looking for a general Edit button.
•
Change the start - Select the start date or start time and choose the revised value.
•
Review the end - If you move the start date beyond the existing end date, Visual Space shifts the end forward to keep the interval valid. Check the resulting end instead of assuming it stayed unchanged.
•
Set the final end - Select the end date or end time and choose when the event should finish.
•
Read the complete interval - Confirm that the header now shows the intended start and end in the correct order.
Schedule choices are applied from their date and time controls; there is no separate schedule save button. Make one deliberate change at a time and check the displayed result before continuing.
Update An Event In Progress
Once an event has started but not ended, its recorded start is protected. This keeps the beginning of the ongoing event stable while still allowing the coordinator to reflect an earlier or later finish.
•
Leave the start unchanged - The start date and start time are locked during an ongoing event. A control that does not open is enforcing that lifecycle rule, not asking for another editing mode.
•
Adjust the finish - Select the end date or end time and choose the revised value.
•
Confirm the active schedule - Read the full interval again and make sure only the end changed.
If the event has already passed its end while you are editing, treat it as completed and do not plan on another schedule correction.
Preserve A Completed Event
After the event ends, its start and end dates and times are all locked. The locked interval is the historical schedule shown to members on the card and article.
•
Keep the schedule as recorded - Do not look for a hidden override when none of the date or time controls opens.
•
Improve the lasting context - Update the editable article text with outcomes, notes, decisions, recordings, or follow-up links when you have article editing access.
•
Separate clarification from rescheduling - Use the body to explain what happened. If the community needs another scheduled occasion, create a new event instead of trying to turn the completed one into a future event.
Verify The Card And Article Agree
•
Review the article first - Check the final title, keywords, body, and schedule. For an ongoing or completed event, confirm that the protected schedule values did not change.
•
Return to Events - Go back to the same space area and find the event in the active list or under Completed Events.
•
Compare the shared details - Confirm that the card shows the same title, keywords, and schedule as the article. The full body remains on the article, so it does not need to be reproduced on the card.
•
Open the event once more - Follow the card back to the article and verify that the expected details remain after navigation.
You are finished when the article contains the revised context, its save state has completed, and the event card and article show one consistent identity and schedule.
If A Control Is Missing Or Locked
•
Article text is read-only - Confirm that you are the event author, the space owner, or have applicable event-management access for this area. Attendance access alone is not editing access.
•
The start will not open - Check the current time against the event interval. An ongoing event locks its start, and a completed event locks the entire schedule.
•
The end will not open - The event is completed, so its historical schedule can no longer be changed.
•
A save failure remains visible - Use its retry control and wait for the saved confirmation before navigating away.
•
The card and article differ - Reopen the same event from the same area and compare the values before attempting another edit. Avoid repeating a schedule change when the article already shows the intended interval.
Continue Managing The Event
The event card menu can offer actions such as View Later, reactions, Awards, or Expo distribution according to the current person's access and the event state. On desktop, open the menu with right-click or Control-click; on mobile, long-press the card.
Delete has a narrower boundary: it appears on the event card for the space owner or someone with event-management access. An event author who can edit the article does not necessarily receive that card action. Use deletion only when the whole event and its linked article should be removed.
