Documents gives each space one familiar place for its files and published work. Everything follows the same spaces, subspaces, activities, and folders used across Visual Space.

Browse And Find Documents

One connected library - Users can browse folders, uploads, articles, and app files together instead of searching across separate libraries.
Familiar space structure - Documents follows each space, subspace, and activity. Desktop users also get a folder tree for quick navigation.


Useful file previews - Images and videos open in a viewer. PDFs, text, and simple tables can show visual previews when available.
Clear file cards - Files without a preview remain easy to identify by name and type, with a dedicated download action.
Search that returns home - File search opens results in their Documents location, including the right folder when that context is available.
Large libraries - Longer collections load gradually, so users can begin browsing without waiting for every document.

Upload Files And Folders

Multiple uploads - Users can upload several files at once and follow the progress, success, or failure of each file.
Folder uploads - Web users can drop a complete folder tree into Documents while preserving its nested structure.



Helpful limit messages - Oversized files and full storage allowances produce clear explanations, with an upgrade option when more capacity is available.
Blocked file types - Common media and document formats are accepted, while executable and browser-active files are blocked.
Reliable fallbacks - An upload still succeeds when its visual preview cannot be created. Documents shows a clear file card instead.
Collected community files - Media added through articles and chat is collected in Documents so it can be found after the original conversation moves on.

Organize Your Space

Flexible folders - Signed-in users can create nested folders beneath the space and activity structure. Space managers can rename or inspect them from the grid or side panel.
Explorer-style selection - Users can select a range, add individual items, or drag a selection box before acting on several documents together.
Drag to organize - Space owners and members with space-management permission can move selected items between folders and space areas.
Direct move choices - Move menus provide space, subspace, activity, and folder destinations without making users browse to each location first.
Protected folder moves - Documents blocks invalid destinations, including moving a folder inside itself, while keeping everything inside a moved folder together.
Bulk actions - A selected group can be moved or deleted from one compact menu, with completed items preserved if a larger action stops partway.



Create And Publish

Create from Documents - Signed-in users can start article drafts. Coordinators can create events and retrospectives, while whiteboards appear when included in the space's access.
Private drafts - New app files stay visible only to their author until published and open directly in the right editing experience.
Publish uploaded files - Users can turn an uploaded file into an article-style draft while keeping the original file available separately.
Archived areas stay read-only - Uploading, folder creation, app-file creation, and publishing are unavailable inside archived activities.

Share And Revisit

Share to Chat - Users can drag one or several selected documents into Chat and review the accepted attachments before sending.
View Later - Any visible document can be saved for later from its menu and reopened in its Documents context.
Expo curation - Space owners and members with Expo permission can add published documents to the space showcase or remove them again.

Access And Storage

Inherited access - Folders keep the privacy rules of their space, subspace, or activity, so reorganizing content does not change who can read it.
Space storage - Private files and larger public files count toward space storage. Eligible spaces can see usage and reach options for more capacity.

Connected Reactions

Shared reactions - Reactions and counts stay aligned across document-backed articles, posts, events, goals, and retrospectives.
Reaction details - Users can open an emoji to see its count and the people who reacted, then add or remove their own reaction when permitted.
