Prepare What You Want To Share

Open the full meeting stage - Join the meeting and open its stage so the call controls and available feeds are visible. You can share in both activity meetings and direct-message calls.

Prepare the source - Open the display, document, or application window before starting. A ready source is easier to recognize in a preview and less likely to show an empty or unrelated window.

Choose the right boundary - Share a whole screen when people need to follow work across several applications. Share one window when the presentation should stay limited to a single application. Remember that notifications and anything else visible on a shared screen may be seen by the room.
The source chooser depends on the platform. Supported desktop apps show a Visual Space selector with separate Screens and Windows choices. On the web and on platforms without that selector, the browser or operating system opens its own picker; its source names, choices, and permission prompts can differ.
Start A Share From The Desktop Selector

Open the screen-share control - Choose Share screen in the meeting call bar. On a supported desktop app, the source selector opens above the controls. You can also open More meeting options, then choose Screen share when you want to return directly to these choices.

Choose Screens or Windows - Open Screens to present an entire display, or Windows to limit the share to one available application window. Changing tabs refreshes the choices and clears the previous selection.

Check the preview and name - Review the thumbnails before publishing. A source can still be selected when its card says Preview unavailable, so use its displayed name to make sure it is the intended screen or window.

Select one source - Choose its card. The card receives a selection mark, the footer shows the source name, and the confirmation control becomes available. These are the checkpoints that your choice is ready but not yet being shared.

Publish the source - Choose Share source. Wait for the selector to finish the request rather than choosing the button repeatedly.
•
Confirm the live share - The call-bar control changes to Stop sharing screen, and your shared content appears as a separate screen-share feed on the stage. Your camera or audio presence remains separate. Seeing both the active control and your share feed is the clearest success checkpoint.
Use A Browser Or Platform Picker
•
Open the picker - Choose Share screen. Visual Space asks the browser or operating system to present the sources it supports.
•
Choose the available source - Select a screen, window, or other offered surface, then use the picker's own confirmation action. Some platforms may offer different categories or wording from the desktop selector.

Respond to access requests - Allow screen-sharing or screen-recording access when the trusted browser or operating system asks. If you cancel or deny the request, no feed should be published.
•
Verify the result in Visual Space - Return to the meeting and look for Stop sharing screen plus a new feed for your share. Because the picker belongs to the platform, its confirmation message alone is not the final meeting checkpoint.
Select The Shared Feed
A share is its own feed, not a replacement for its presenter's camera. This also applies to your own share: you can select it and arrange it just like a share from anyone else.

Find the share - In Grid, look for the screen-share badge and the presenter's name. If you are presenting, choose the feed associated with your own name rather than your camera tile.

Feature the feed - Choose the share tile. Selecting a tile from Grid opens it as the large Stage feed while the other feeds move into the carousel.
•
Check the selection - The shared content should now fill the main stage area. The presenter's camera, other participants, and any other shares remain available separately rather than being removed.
Selecting your own share changes only what you are watching. It does not restart the share, duplicate it, or change what the room receives.
Choose Grid, Stage, Or Focus
Choose the layout for what you need to understand at that moment. Changing layout changes only your view; it does not rearrange another participant's stage, stop a feed, or force everyone to watch your selection.

Use Grid to compare - Return to the all-feeds grid when several people are sharing, when you need to find your own share, or when reactions and the wider room matter as much as the presentation.
•
Use Stage to present and stay aware - Select the share you want to feature. Stage makes it large and keeps the remaining feeds in a carousel, which works well for a guided presentation with the room still in view.
•
Use Focus for detail - From Stage, use Hide participant strip to give the selected share maximum room. This is useful for reading fine text, reviewing design details, or reducing visual distraction.

Return from Focus - Use Show participant strip to restore Stage and its carousel. Use Switch to grid layout whenever you want all available feeds together again.
On desktop, layout controls can fade while the pointer is inactive. Move the pointer over the stage or its meeting controls to reveal them again; the selected share and layout have not changed merely because the controls are hidden.
Follow Several Shares At Once
Several participants can share at the same time. Each screen share appears as an independent feed, so a second presenter does not need to wait for the first presenter to stop.

Scan all active shares in Grid - Use the share badges and participant names to distinguish the feeds. This is the best view for confirming who is presenting and comparing content side by side.

Choose the current presenter - Select one share to move it onto Stage. The other shares remain in the carousel along with the room's other feeds.
•
Move between presenters - Choose another share in the carousel to make it the main feed without changing the layout. Use Focus only after selecting the exact share that needs the extra space.
•
Include your own source - Your share remains one of these selectable feeds. You can compare it in Grid, feature it on Stage, or inspect it in Focus while other people continue sharing.
Change Or Stop Your Share
•
Open the desktop source selector again - While presenting in a supported desktop app, open More meeting options, choose Screen share, and select a different screen or window. The footer identifies the current or newly selected source.

Replace the desktop source - Choose Switch share. The new source replaces your current shared source; it does not add a second share under your name. Confirm that the new content is visible and that the call bar still says Stop sharing screen.
•
Change a source elsewhere - A browser or operating system may provide its own way to replace the active source. If it does not, stop the current share and start again with the new source. The exact controls vary by platform.
•
Stop presenting - Choose the active Stop sharing screen control. Your screen-share feed disappears from the available feeds, while your microphone, camera, meeting connection, and other participants' shares continue independently.
Stopping a share is different from changing your view. Moving from Focus to Grid, selecting another participant, or closing the full stage does not by itself stop the source you are publishing.
The active-share indicator and stop control remain visible after the full stage closes, confirming that changing view does not stop publication.
Solve Common Sharing Problems
•
Nothing is available on desktop - If the selector says Nothing available to share, open the screen or application window you need, then return to the selector. If sources still do not appear, check whether the operating system has allowed the app to capture the screen. Source availability and permission settings vary by desktop platform.
•
Share source is unavailable - Select a source card first. The footer should show its name and the confirmation control should become available. If the selector is still loading, wait for the previews to settle.
•
The platform picker does not appear - Check whether a browser prompt opened behind another window or whether screen-sharing access was previously denied. Review the browser or operating system permissions for the trusted Visual Space app, then try Share screen again. Some operating systems may require the app or browser to be reopened after a permission change.
•
The request fails - If Visual Space shows Could not start screen sharing, the selected source was not published successfully. Keep the source open, verify platform permission, and retry. Do not assume the room can see the source until Stop sharing screen and your share feed are both present.
•
The source is present but hard to find - Return to Grid and look for your name with the screen-share badge. A camera tile and a screen-share tile can belong to the same person, and several participants may each have a share tile.
•
The wrong content is visible - Stop immediately if private content is exposed. On supported desktop apps, reopen the source selector and use Switch share; elsewhere, stop and restart through the platform picker if it offers no replacement action.
•
The share freezes during a connection problem - Check the meeting connection indicator. If the call is reconnecting, keep the meeting open while Visual Space attempts recovery. After recovery, confirm the share feed is moving again; if it is not, stop and restart the share.
You Are Ready To Present
The presentation is correctly set up when the call bar says Stop sharing screen, the shared source has its own selectable feed, and the intended content is visible in that feed. You can now keep the room together in Grid, lead with the source in Stage, or give it maximum space in Focus without changing anyone else's view.
