Visual Space manual, Meetings, Invite And Manage The Room

Use this walkthrough to bring eligible people into an active meeting, respond to an invitation, take part without interrupting, and verify what changed in the room. The final section is reserved for space owners and members with chat-management permission because muting or removing another person is **room moderation**, not ordinary participation.

Use this walkthrough to bring eligible people into an active meeting, respond to an invitation, take part without interrupting, and verify what changed in the room. The final section is reserved for space owners and members with chat-management permission because muting or removing another person is room moderation, not ordinary participation.

Before You Begin

Join the meeting first - The Invite action is available to a current participant. Open the activity meeting or direct-message call and confirm that your participant presence appears in the room.
Check the room's scope - An activity meeting belongs to an activity in its space. A direct-message call belongs only to that conversation. Invitations, Awards, and moderation do not cross those boundaries.
Confirm the intended audience - An activity invitation can reach eligible space members who may access that activity, including its private area when applicable. A direct-message invitation can reach eligible participants from that conversation.
Separate interaction from moderation - Inviting, reacting, raising your own hand, and recognizing another participant are participant actions. Muting or removing someone changes their call state and requires the additional permission explained later.
Expect live state to change - Candidate lists, participant presence, microphone state, and menu actions reflect the active room. Someone may join, leave, or become unavailable while a window or menu is open.

An invitation helps an eligible person find the current room. It never grants space, private-area, activity, or direct-message access.

The participant list and meeting action rail establish where invitation, participation, and room-management work begins.

Invite Eligible People

Open Invite - On desktop, use Invite in the meeting action rail. On a smaller screen, open the meeting options and choose Invite. When you are alone on the stage, Invite People can open the same invitation flow.
Wait for Invite to voice - The window loads people who are eligible for this room. Current participants and your own account are omitted, so everyone shown is outside the current participant list at the time of loading.
Interpret an empty list - No eligible participants found. means there are no candidates to show. If you entered a search, No participants match the current search. means eligible candidates exist but none match the current text. A loading failure also displays Could not load invite candidates; close and reopen the window before assuming nobody is eligible.
Search for a person - Enter part of a display name or handle in Search participants. Search narrows the eligible list; it does not widen the room's access rules.
Select each recipient - Choose a candidate row to add that person. A selected person appears as a chip above the list, and the row changes to its selected state.
Review the selection - Remove a chip or choose the selected row again to deselect that person. Invite To Call remains unavailable until at least one recipient is selected, and it is temporarily unavailable while invitations are being sent.
Send the invitations - Choose Invite To Call. A successful send closes the window. This confirms that the invitation request completed, not that each recipient has joined; verify arrival separately in the participant list.

If Visual Space shows Could not send the meeting invite, the window stays open. Review the selected people, confirm that the meeting is still active, and try again. A person who joined or lost eligibility while the window was open may no longer be a valid recipient.

Review the room-scoped candidate list before selecting anyone or enabling the send action.

Dismiss Or Accept An Incoming Invitation

An incoming invitation appears as a compact bar over the screen you are using. Read the named activity or conversation before acting, especially when several rooms may be active across a space.

Verify the destination - Confirm that the invitation names the activity or direct-message conversation you intend to join. The prompt does not override that room's normal access boundary.
Dismiss without joining - Use Dismiss meeting invite when you do not want to enter. The bar disappears, and your current screen and meeting participation do not change.
Accept the invitation - Choose Join meeting. The invitation clears, Visual Space finds the latest version of the room, and, when the room is available to you, joins it and opens the stage.
Confirm the join - Look for the stage controls and your presence in the participant list. The invitation disappearing by itself is not enough to prove that the connection completed.
Recover from a stale invitation - If the room is no longer active or cannot be found after a refresh, the stage does not open. Return to the named activity or conversation and check for a current Voice room before trying to join again.

Accepting can switch you away from another call because each person can be joined to only one meeting at a time. Review Meeting rooms and presence before accepting when you need to understand room switching or private-scope access.

Participate Without Managing Anyone Else

Reactions and raised hands communicate with the room but do not change another participant's access or media. Use a reaction for a passing response and a raised hand when the group needs a visible speaking order.

Send a quick reaction - Open React, choose an emoji, and close the picker if it remains open. Standard emoji are available for everyday responses; an activity meeting can also use custom emoji configured for its space chat.
Verify the reaction - The emoji briefly rises across the stage and appears on the sender's feed. It clears automatically, so it is useful for agreement, encouragement, or amusement rather than a request that must remain visible.
Handle a reaction error - If Could not send the reaction appears, confirm that you are still joined to the same active room and try again. A failed reaction should not be treated as visible to other participants.
Raise your hand - Choose Raise hand when you want a turn to speak. Your name appears in the raised-hand overlay with a numbered position based on when the hand was raised.
Wait for acknowledgment - Raising a hand is only a coordination signal. It does not unmute you, reserve a feed, or give you control over anyone else's microphone.
Lower your hand - Choose the same control again when it reads Lower hand. Your entry disappears, and the remaining queue positions update. Leaving the room also removes your active hand from that meeting.
Handle a hand error - If Visual Space reports Could not raise your hand or Could not lower your hand, check the visible queue before repeating the action. Use the current control label and queue state as the reliable guide.

Only raise or lower your own hand. Room managers do not use this queue to change another person's media state; their separate actions are covered below.

Recognize A Participant With An Award

Meeting Awards are available in activity meetings as quick appreciation for another current participant. They create a larger and longer celebration than a reaction, so use them for meaningful recognition rather than routine turn-taking.

Choose another current participant - Open the participant's options from their row or meeting feed using the context action available on your device, such as a secondary click on desktop or a long press on touch.
Look for Give award - The action appears only when you are joined to an activity meeting and the recipient is another current participant in that same room. It is not available on your own feed or in a direct-message call.
Complete the Award picker - Choose the Award and complete the picker. If the participant leaves or the meeting ends before completion, reopen the current participant list and confirm that the person is still present rather than retrying against an outdated menu.
Verify the recognition - The room receives a visible celebration naming the sender and recipient. When several Awards are included, the celebration also shows the quantity.

Awards remain distinct from room management. Giving one does not change the recipient's microphone, presence, role, or access.

For Space Owners And Chat Managers Only

This section applies only to the space owner or a member whose role includes chat-management permission. The controls operate only in an activity meeting. Direct-message calls do not inherit space-role moderation, even when everyone in the call belongs to the same space.

Open the expanded participant list - Use the current room's participant rows, where microphone and presence state are visible. On desktop, open a participant's context menu with the supported secondary or control click. On touch devices, long-press the participant row.
Verify the target - Check the participant's name and current status before choosing an action. The menu never offers meeting moderation for your own account, and you cannot mute or remove yourself through participant management.
Mute an active microphone - Choose Mute mic to turn off another current participant's microphone. The action is offered only when that participant is not already shown as muted. Confirm success when their participant status changes to muted.
Remove a participant from this room - Choose Kick from meeting only when removal is warranted. On success, the participant disappears from the current meeting's participant list.
Keep the scope clear - Removing someone from the meeting does not remove them from the space, revoke activity or private-area access, or change their roles. Treat broader membership or access decisions as separate space management work; do not rely on a room removal to enforce them.

The activity-room menu reflects current permission and microphone state before any participant action is chosen.

These actions use the state at the moment they are applied. If the target leaves, becomes muted, the meeting ends, or your permission changes first, Visual Space may refuse the action. Could not mute the participant or Could not kick the participant means you should close the old menu, refresh your understanding from the participant list, and act only if the control is still available.

Confirm The Finished Room State

Check invitations by presence - A closed invitation window means sending completed, while a new participant row confirms that someone actually accepted and joined. Do not confuse those two checkpoints.
Check transient interactions on the stage - Reactions should appear briefly and clear. Raised hands should remain in the numbered queue until lowered or until the participant leaves.
Check Awards in the room - An Award celebration should name the sender and recipient. If Give award is absent, verify activity-meeting scope, current participation, and that the intended recipient is not you.
Check moderation in the participant list - A mute changes the target's microphone status. A successful removal clears the target from the current room. Neither result proves a change to space membership or activity access.
Reopen current controls after an error - Do not keep using a menu or candidate list captured before the room changed. Reopen it so eligibility, presence, microphone state, and permissions are evaluated again.

You are finished when the participant list and stage show the intended result: invited people who accepted are present, temporary reactions have behaved as expected, raised hands reflect the current speaking queue, any Award reached the intended participant, and authorized moderation changed only the current activity room.
