Visual Space manual, Search, Find Documents And Media

Use this walkthrough when you remember a filename, folder, or Visual Space document but not exactly where it lives. You will narrow Search to the Docs family, compare document and media matches, and open the right item in the Documents context available to you.

Before You Search

You need to be signed in. Search can find only material your account can access, and opening a result checks that access again. If you are unsure whether the item belongs to your current community, begin with Global; if you know its space, a space-scoped search removes similarly named work from elsewhere. Find The Docs Family

Open Search - Start from the current space when you want to stay inside that community, or use Global Search when the item may live elsewhere.

Confirm the scope - Check the bubble inside the search field. Keep the space identity for a local search, or clear it to use Global across the content available to you.

Select Docs - Choose Docs before or after entering the query. Confirm that the control is selected. This family includes files, folders, and Visual Space documents; it is not limited to image files.

•

Enter a useful fragment - Type a distinctive part of the filename, folder name, or document title. Search updates after your typing settles, and you can submit the phrase immediately with Find.

•

Wait for the result set - Let the searching state finish, then check the Results count. The count belongs to the current query, Docs filter, scope, time choice, and your current access.

At this checkpoint, Docs is selected, the query and result count have settled, and every visible row or tile belongs to the active accessible scope. For more ways to shape the set, see Results And Filters.

Read Rows And Media Previews

Folders and Visual Space documents can appear as regular document results, while matching files may use a visual grid. In a mixed result set with enough file matches, Search places a compact media preview before the regular rows so you can compare likely files quickly without losing the folder and document matches below it.

A visual tile is not a promise that every file has a thumbnail. A missing preview does not by itself mean that the file is missing. Files And Previews explains what different formats can show and open.

The compact preview keeps visual file matches beside the active Docs query and offers a separate path to focus on more media.

Scan the compact preview - Compare visible artwork, names, and available context with the item you remember. Treat the preview as a sample of file matches rather than the complete Docs result set.

Check the regular results - Look below the preview for matching folders and Visual Space documents. These belong to the same Docs family even though they are not image tiles.

Choose Show more media - Select Show more media when visual file matches are the strongest lead. Search switches to a file-focused grid, so folders and other Visual Space document results are no longer part of that focused view.

Let the grid settle - Wait for the file results to finish loading before deciding that a media item is absent. Use Show more when Search indicates that another page of matches remains.

Open The File In Context

Select the best match - Open the file row or media tile whose name and preview fit what you need. Search hands the match to Documents with the file and folder context that is available for that result.

Confirm the destination - Check that Documents has reached the expected space area or folder and the selected file. Images and videos can open in the in-app viewer; other formats use the preview or file actions available in Documents.

Return to Search - Go back after checking the match. Your query, scope, filters, loaded results, and loaded pages remain available, making it easy to compare another candidate without rebuilding the search.

Search owns discovery; Documents owns organization, previews, downloads, and file actions. When you return, the same search remains visible and the result you opened has a subtle seen treatment. To understand its folder context, see The Documents Library And Folders.

Completed Result

You have narrowed discovery to the full Docs family, distinguished document rows from media tiles, and opened the match in its available Documents context. Returning preserves the search for another comparison.

Common Problems

The filename does not appear.

Wait until the result count settles, shorten the phrase to a distinctive fragment, and check the active scope. Switch from a space to Global if the file may live elsewhere, and use All time when a narrower time choice could exclude it. Search still cannot show a file outside your current access.

The media preview is missing.

A compact preview appears only when the current mixed results contain enough file matches. Keep Docs selected and check the regular results as well; the match may be a folder, a Visual Space document, or a file without a thumbnail.

The file grid cannot be displayed.

If Search reports Files could not be displayed., try the query again after a moment. The unavailable grid does not establish that the underlying file was deleted.

The result opens somewhere unexpected or no longer opens.

The file may have moved, or your access to its owning area may have changed. Search can carry available location context, but it cannot restore a former folder or bypass the current Documents access boundary.
