Visual Space manual, Live Apps, Create And Open A Whiteboard

This walkthrough creates a persistent Whiteboard in the right space area, confirms what the linked draft means, and brings you back to the same board after you leave. Use it when the board needs a clear home in Documents rather than becoming a one-session sketch.

Check the Destination and Your Access

A Whiteboard belongs to the space area where it is created. Choose that location before opening the creation flow because it determines where the board appears and who can reach it.

Choose an active area - Create the board in the space, subspace, or activity that owns the work. An archived activity does not accept new Whiteboards, so move to an active area before trying again.

Check private-area membership - If the destination is private, you must be a member of that area. A direct board link does not bypass the same boundary for you or anyone else.

•

Confirm Whiteboard access - Creation and editing access can come from a Coordinator Abo, Designer Pack, or standalone Whiteboard access. If the create action opens an access prompt, resolve that access instead of creating the board in a different area by accident.

Someone who is allowed into the owning space and area can still open an existing board without Whiteboard editing access. Their board opens read-only: editing tools, undo, and redo are unavailable, but the board remains visible. Read-only access does not grant permission to create a new board.

Create from the Whiteboard Explorer

Use this path when you want to browse the area's existing boards first and then move directly into a new workspace.

Open the owning area - Go to the space, subspace, or activity where the board should live.

•

Open Whiteboard - Choose Apps, then choose Whiteboard. The explorer should show the intended area and only its folders and Whiteboards; canvas tools stay out of the way until a board is open.

Correct the location if needed - On a larger screen, use the area panel to choose another available subspace or activity. Check the location beneath the Whiteboard heading before creating anything.

Create the board - Select New whiteboard. After the access and area checks succeed, Visual Space creates the board and opens it directly.

•

Confirm the workspace - Look for the empty fullscreen stage, grouped board tools, participant area, and board actions. These are the signs that you opened the focused workspace rather than remaining in the explorer.

If you have editing access, add one short Text label such as Kickoff as a simple persistence check. Keep the rest of the board empty for now; Board Tools and Objects covers the larger tool set.

Or Create from Documents

Creating from Documents keeps the new board anchored to the library location already on screen.

Use Documents when the board should sit beside specific files or inside an existing folder.

Open the exact Documents location - Go to Documents in the destination area, then open the intended folder when the board belongs inside one.

•

Start the linked app file - Select New, then choose Whiteboard. If New is unavailable, check whether the current activity is archived.

Find the new draft card - Documents creates a Whiteboard entry in the open location and keeps you in the library. The card begins with the default Whiteboard identity and is marked as a draft.

Open the board - Select the new Whiteboard card. Visual Space recognizes the linked app file and opens the same fullscreen Whiteboard workspace used by the explorer path.

A meeting can also create or open a Whiteboard as a Live App when the work begins on a call. That is an alternative entry point, not a temporary format: the resulting board still belongs to the meeting's space area and can be reopened later.

Understand the Draft Result

Each creation path makes two connected parts: the editable visual board and a paired article draft. The board holds the stage and its objects. The paired article carries the title, longer context, publication lifecycle, and discussion around that work.

Creating the board does not publish a feed post automatically. The paired article remains a draft until someone deliberately publishes it, while the Whiteboard already exists as a persistent app file in its owning Documents location. Publishing later does not replace the editable board with a flat article.

Leave and Reopen the Same Board

Whiteboard work is designed to continue after the current visit. If you added the Kickoff label, finish the edit before leaving so it can serve as a quick visual check when the board returns.

Leave the focused workspace - Choose Back to whiteboards in the board header. The fullscreen editor closes and the Whiteboard explorer returns to the exact area that owns the board.

Check your location - Confirm that the explorer shows the expected space area. The board should appear with the area's other Whiteboards rather than in a global list.

Reopen from the explorer - Select the Whiteboard card you just created. The focused workspace should load the same board, not a new empty one.

•

Verify continuity - Confirm that the board identity, participant area, and any small test label you added are present. The paired article and comments also remain connected to this board.

•

Try the Documents route when useful - Return to the same area and folder in Documents, then open the Whiteboard card there. It should lead to the same persistent workspace.

If another authorized member opens that existing board but sees no editing tools, their read-only view is working as intended. If the board does not open at all, check sign-in, joined-space membership, and private-area membership first; Whiteboard access cannot override a missing area permission.
