This walkthrough adds a custom emoji to your space, checks that people can use it in Chat, and removes it when it no longer belongs in the catalog. It is useful when your space wants a recognizable symbol, shared joke, or project-specific reaction for live conversation.

Before You Start

You must be the space owner or a member with Manage Chat access. Custom emoji belong to the current space, and each space can keep up to 50 active emoji.

Prepare an image in jpg, jpeg, png, or webp format. Choose artwork that will remain clear when displayed at emoji size. Also choose a distinctive name that people can recognize inside a token such as :super_nova:.

Open Emoji Administration

Open Space Administration - Enter the space whose emoji catalog you want to change, then open Space Administration.
Choose Emoji - Select Emoji from the administration navigation. This page lists each custom image, its token name, who uploaded it, and the available capacity.
Check the remaining capacity - Read the slots available value before adding anything. Upload Emoji is disabled when all 50 slots are occupied.


The Emoji page keeps capacity and catalog details together before any upload or removal begins.

You can also begin from an Activity Chat emoji picker. If you have the required access, open the picker's Custom section and select its add-image control. This opens the same Add Emoji form without taking you away from the conversation.

Choose And Frame The Image

Start the upload - On the Emoji administration page, select Upload Emoji. The Add Emoji form opens over the current page.
Choose an image - Select Choose image, then pick one jpg, jpeg, png, or webp file. If you chose the wrong file, use Change image to replace it.
Set the crop - Drag the image within the square frame to reposition it. Use the zoom control to bring the important part of the artwork into view without cutting it off.
Check Preview - Look at the small preview beside the image controls. This is a better indication of whether the crop will remain recognizable at normal emoji size.

Name And Add The Emoji

Enter the Emoji name - Use 2–32 lowercase letters, numbers, and underscores. Names must be unique among the space's active custom emoji. A clear value such as super_nova becomes the token :super_nova:.
Review the normalized name - Visual Space trims the value, changes uppercase letters to lowercase, replaces unsupported character groups with underscores, and removes leading or trailing underscores. Make sure the resulting name still communicates what you intend and remains within the length limit.
Add the emoji - Once the form has a valid image and name, select Add Emoji. The action changes to Uploading... while the cropped image is being added. Keep the form open until it closes and the new row appears.

The new row is your first checkpoint: it should show the cropped image and the expected token in the Emoji table, while slots available decreases by one.

Verify It In Chat

Open Activity Chat - Go to an activity in the same space and open the emoji picker from the message composer.
Find the custom emoji - Look in the Custom section for the image you added. Catalog changes normally appear in open Chat pickers as the list refreshes.
Test the token - Select the image or enter its exact token, such as :super_nova:, in a message. A known token resolves to the custom image in that space.

Remove An Emoji

Removing an emoji is consequential because it is taken out of the active catalog immediately. Check that you selected the right row before continuing; the current Emoji page does not add a separate confirmation step.

Find the catalog row - Return to Space Administration, open Emoji, and locate the token you want to remove.
Select the delete icon - Use the delete control at the end of that row. The emoji disappears from the table, its slot becomes available, and it is removed from Chat pickers.
Check older conversation - Deletion does not rewrite old messages. When a message can no longer resolve the custom image, its token remains readable as text, such as :super_nova:, instead of becoming a broken image.

Solve Common Problems

Upload Emoji is disabled - Check slots available. At the 50-emoji limit, remove an unused emoji before adding another.
Add Emoji is disabled - Confirm that you chose an image and that Emoji name produces a valid 2–32 character name after normalization.
The name is rejected or the upload does not finish - Look for an active emoji with the same token. Names are unique within the space, so choose a different meaningful name and submit again.
The image is missing - Return to the form and select Choose image or Change image. Only jpg, jpeg, png, and webp files are available in the image chooser.
The picker still shows the old catalog - Close and reopen the picker. If needed, leave and return to the Activity Chat so it reloads the current space catalog.
