Visual Space manual, Goals, Organize Board And Backlog

This walkthrough turns a busy Goals workspace into an understandable plan. You will shape the active workflow, move later work into the backlog, make responsibility visible, and then use filters and search without disturbing the order you established. The guide is primarily for space owners and goal managers. Wherever a reporter, direct assignee, or member of an assigned role can perform an action on an individual goal, that step is marked **Goal editors**. For the concepts behind the workflow,

Make a busy Goals workspace easier to follow by giving current work a clear workflow and keeping later priorities in the backlog. Space owners and goal managers can perform the structural changes; a reporter or assignee can arrange the individual goals they are allowed to edit.

Choose The Scope

•
Open the right area - Check the space, subspace, or activity in the header. An activity view keeps the pass focused, while the broader space view shows work across accessible areas.
•
Clear text search - Ordering and inline insertion are unavailable during text search. You may keep assignee and tag filters, or clear them when you want to review the whole plan.
•
Decide what belongs now - Keep current work on the board. Reserve the backlog for later priorities and paused efforts rather than using another active column as an endless waiting list.

The board groups current work by status while keeping its activity and assignee visible.

Shape The Workflow

Column changes affect the shared board and require space-owner or goal-management access.

•
Add or rename a stage - Use the add-column control or select an existing column name. Choose a name people can distinguish in practice, such as Review.
•
Set its category - In the column's More actions, choose Category, then To do, In progress, or Done. A name alone does not determine whether work counts as completed.
•
Choose the entry point - Use Make initial column for the stage where the header's New action should begin.
•
Arrange headers on desktop - Drag them into the order people follow. Narrow screens present the same order vertically.
•
Remove an obsolete stage - Check its goals before choosing Delete. They move to the next column, or the previous one when deleting the last column. At least one column must remain.

Check that the resulting names tell a coherent story and the initial marker points to the intended starting stage.

Arrange Active Goals

•
Move to the right stage - Drag an editable card to its destination and release at the intended insertion point. On touch layouts, long-press the card to start dragging.
•
Use a simpler status change - Open the card's menu and choose Change Status when you do not need an exact position. The article's Status field offers the same workflow choice.
•
Prioritize within a stage - Drag a goal above or below its neighbors. Assignee and color filters can remain active while you arrange their matching goals.
•
Check the saved placement - Confirm the card settles where intended. An invalid drop, cancelled drag, or failed save returns it to the earlier position.

Move Later Work To The Backlog

•
Set aside an editable goal - Choose Move to Backlog from its menu, or drag it into the desired backlog position.
•
Prepare its return - Use the row's status control to select the column it should use when it becomes active again. This does not move it back yet.
•
Refine the title - Use the row's title edit control for a clearer summary. Open the article for a longer explanation. Desktop title editing keeps your surrounding list position.
•
Order future priorities - Drag rows among their neighbors, or long-press on touch layouts. Continue scrolling to review older backlog pages.
•
Add a missing objective - With goal-management and Coordinator access, use the backlog composer. A title publishes immediately; pasted non-empty lines create separate goals.

The backlog checkpoint confirms that retained future work keeps its planning context outside the active lanes.

A goal keeps its article, reference, activity, assignee, and tag when it moves. The backlog changes its place in the plan, not the discussion already gathered around it.

Bring Ready Work Back

•
Return to its prepared stage - Choose Move to Board in the backlog row's menu.
•
Choose a different position - Drag it directly to a column and insertion point, or onto a column header when only the stage matters.
•
Confirm the result - Find the card on the board and check that it has left the backlog. If its old prepared column was removed, review the replacement status.

Assign And Focus

Reporters can organize goals they introduced; managers can coordinate across the board. Assignment alone does not allow someone to reassign a goal or change its tag.

•
Choose genuine responsibility - Open the assignee picker and select one person, one role, or Unassigned. Use Search people and roles for another candidate.
•
Agree on tag meanings - Choose an existing color tag or No tag. Managers can use Add more tags when a new shared meaning is needed; avoid creating several tags for the same priority.
•
Review a focused set - Open Filter and combine assignees with tags. For example, select a role and Urgent to review that role's urgent work. Choose No tag for goals without a tag.
•
Find a particular goal - Use Search for a reference, title, or keyword. Clear the text when you want to resume ordering. Older unloaded backlog rows may need browsing before they appear in board search.

If changing an assignee or tag makes a goal disappear, clear the filter it no longer matches. The goal remains in its planning location.

Resolve A Missing Action

I cannot change columns.

You need space-owner or goal-management access. Responsibility for one goal does not include board management.

I cannot drag a goal.

Clear text search and confirm you can edit that goal. On touch layouts, long-press the card or row; use its menu if dragging is inconvenient.

The intended assignee is absent.

Search for the person and confirm they participate in the space, or choose the appropriate space role.

A goal seems to have disappeared.

Clear temporary search and filters, check its owning activity, and look in both board and backlog before creating a duplicate.

Your board should now show current work in useful stages, with later work preserved in the backlog. Finish and review goals explains how completed work moves into history.
