Visual Space manual, Goals, Backlog

The backlog is the Goals workspace for worthwhile work that is not ready to occupy the active board. It lets a space keep promising ideas, paused efforts, and later priorities without mixing them into the work people are trying to move forward now. A backlog goal is still a complete goal. Moving it away from the board changes its placement, not its identity or the context people have already built around it.

The backlog keeps worthwhile work available until it is ready for the active board. Use it for later priorities, paused efforts, and ideas whose scope still needs discussion.

A backlog goal keeps its article, reference, assignee, color tag, activity, and workflow status. Backlog is a planning location, not a private draft state. Its normal space and area access rules continue to apply.

Read And Refine Waiting Work

The backlog sits below the board. Its rows show the goal reference and title, activity when present, prepared status, assignee, and available actions. Longer backlogs load more rows as you scroll.

The backlog keeps its total and the most useful planning details visible while future work stays outside the active board.

Select a row to read its article beside the workspace. The surrounding board, filters, and list position remain available while you examine the context.

Editors can rename a backlog goal and change its status without opening the full article. Reporters and managers can also update responsibility, tags, and supported area placement. Desktop title editing keeps the list at its current scroll position, making a long triage session easier to follow.

Prepare Its Return

A backlog goal retains a prepared status: the column it should use when it returns to the board. For example, an idea may wait with To Do prepared, while a paused effort retains an In Progress stage.

Changing that status does not move the goal onto the board. Move to Board performs the return. If the saved column no longer exists, an available starting column is used instead.

Arrange Future Priorities

A goal editor can use Move to Backlog from an active card's menu and Move to Board from a backlog row. These actions preserve the article and goal identity.

Dragging gives more control:

•
Place a board card at a chosen backlog position.
•
Reorder loaded backlog rows among their neighbors.
•
Return a backlog goal to an exact position in a board column.
•
Drop on a column header when choosing the stage matters more than its position.

On touch layouts, long-press the row or card to start moving it. Assignee and color filters keep ordering available; clear text search before dragging or using inline insertion. If a move fails, check the restored position before trying again.

Space owners and goal managers with Coordinator access can create directly in the backlog. Each non-empty pasted line becomes a published goal, so prepare titles that are ready for the area's readers. See Create and develop a goal.

Find The Work You Need

Assignee and tag filters apply across both board and backlog. Use them to review one role's future work, find unassigned goals, or gather a shared priority. If an edited row stops matching the filters, it leaves the view without being deleted.

Search can narrow the current workspace, but backlog search depends on loaded rows and is not a complete search of every unloaded page. To find older work, browse farther into the backlog or open its reference. Clear temporary search and filters when a goal seems unexpectedly absent.

Access Follows The Goal

The reporter, assignee, current assigned-role members, space owner, and goal managers can edit and move the goals available to them. Assignment does not allow reassignment, tag changes, activity placement, or board management by itself.

Other permitted members can browse and open goal articles. Private area access still applies, and archived activities remain readable without accepting newly created goals.

Common Questions

Does the prepared status make the goal active?

No. It records where the goal should return. The goal stays in the backlog until moved to the board.

Does moving to the backlog remove comments or change the reference?

No. The article, discussion, and reference remain attached.

Why can I change status but not the assignee?

You may have assignee access. Reporters and managers control responsibility and tags.

Why can I not drag a row?

Clear text search and check that you can edit the goal. Assignee and tag filters alone do not disable dragging.

Use Organize the board and backlog to balance current work with the ideas you want to retain.
