Visual Space manual, Docs, Share Documents In Chat

Use this walkthrough to bring one document or a carefully chosen set from Documents into an active Chat conversation. You will keep the source material in its library location, review exactly what Chat accepted, add a useful explanation, and confirm that the resulting attachments or links respect the source access rules.

Use this walkthrough to bring one document or a carefully chosen set from Documents into an active Chat conversation. You will keep the source material in its library location, review exactly what Chat accepted, add a useful explanation, and confirm that the resulting attachments or links respect the source access rules.

Before You Start

This flow crosses Documents and Chat, so check both sides before beginning a drag.

Sign in - You need to be signed in and able to open the source items in Documents.
Confirm the conversation - Make sure you can open the Chat where the material should be discussed. The handoff opens Chat for the current space area, so begin in the activity whose conversation you intend to use.
Check that dragging is available - Your Documents view must allow you to drag the source items. If the cards cannot be dragged, this handoff is not available from your current view.
Choose relevant material - Share only the brief, reference, image, video, or file that helps this conversation. A smaller, deliberate set is easier for readers to understand and less likely to exceed the message's remaining attachment capacity.
Review the likely audience - Chat visibility and document access are separate. Being able to read the conversation does not automatically give someone access to every item shared into it.

Checkpoint: you are in the correct Documents area, can access the intended Chat, and know which exact items belong in the message.

Build The Exact Drag Payload

You can drag one card directly or select several visible cards first. When several items are selected, the card where you begin the drag determines what travels with the pointer.

Share one item - Start dragging a card that is not part of a larger selection. Only that item becomes the payload.
Add individual items - On desktop, hold Command on macOS or Control on other systems while selecting the cards you want. Use the same modifier on a highlighted card to remove it.
Select a visible range - Select an anchor card, then hold Shift while selecting the last card in the range. Inspect the cards between them because they are included too.
Draw around a group - Start in empty grid space and drag a selection rectangle across the intended cards. Adjust the selection if it catches unrelated material.
Check the highlights - Confirm every highlighted item belongs in the conversation before starting the handoff. Dragging a selected card carries the complete selected set. Dragging an unselected card carries only that card.

Selection is the drag payload, not merely a visual filter. If the set looks larger than expected after you begin, press Escape before dropping and rebuild it.

The highlighted Engineering folder and article form one exact two-item payload before the drag begins.

Carry The Selection Into Chat

Keep holding the drag while Documents hands the selected material to Chat. Releasing too early ends the attempt before the items reach the composer.

Start from the correct card - Drag one unselected card for a single item, or drag any highlighted card to carry the selected set.
Move toward the Chat handoff area - Guide the pointer toward the lower part of the Documents view. The Drop to chat prompt confirms that the handoff area recognizes the payload.
Allow the context to switch - Keep hovering without releasing. After a short pause, the active view changes from Documents to Chat while preserving the drag.
Confirm the destination conversation - Check the activity or conversation shown in Chat before you release. If the wrong Chat opens, press Escape; this cancels the active drag without moving, duplicating, or sharing the source items.
Enter the Chat drop surface - Continue holding the pointer over Chat until the Drop document to share feedback appears.
Drop into the active composer - Release on the accepted Chat surface. The items that fit are added to the current message composer for review; they are not sent immediately.

The handoff creates a conversation route to the material. It does not move the items out of their folders, duplicate them into a second Documents location, or change their source audience.

Review What Chat Accepted

Chat applies one attachment limit to everything already waiting in the composer and the items you just dropped. Existing images, files, or document attachments reduce the capacity available to the new selection.

Read the attachment warning - If the selection is larger than the remaining capacity, Chat warns that the attachment limit was reached.
Compare the composer with the selection - Check each accepted preview or filename rather than assuming the complete selected set fit. Chat keeps the items that fit and leaves the remainder out of this message.
Remove anything accidental - Delete an unwanted attachment from the composer before sending. Removing it from the message does not delete its source from Documents.
Decide what to do with the remainder - If only part of the selection was accepted, send the accepted group first when it forms a coherent message. Then return to Documents and share the remaining items in a separate message if they are still needed.
Avoid repeating accepted items - When preparing a follow-up, select only the items absent from the first composer. The partial acceptance does not mark the remainder for you after the drag finishes.

Checkpoint: every composer attachment is intentional, and you know whether any selected items still need a separate message.

Understand How Items Appear

The composer can show different Documents items in different ways, but each representation still points back to the same source material.

Stored images and videos use their existing media in Chat, giving readers a familiar attachment preview.
Stored files appear as file attachments and continue to open or download the original stored file.
Other document types are sent as document links that return readers to the appropriate Visual Space content.

These differences affect presentation, not ownership. Sharing an article link does not turn it into an uploaded file, and sharing an existing file does not create a new source copy. For more about formats and opening behavior, see Files And Previews.

Add Context And Send

A collection of attachments is easier to use when the message explains why it was shared and what readers should do next.

Write a short introduction - Name the purpose of the material, such as a review request, a decision to make, or background for the current discussion.
Call out the important item - If several attachments serve different roles, tell readers which one to open first and what the supporting items contain.
Mention a split set - When the attachment limit divided the selection, say that the remaining material will follow in another message so readers do not mistake the first group for the complete set.
Review the final composer - Check the conversation, message text, accepted attachments, and any document links together. Remove anything that belongs in another audience or discussion.
Send the message - Submit only after the composer matches your intent. A message may contain attachments without extra text, but a brief explanation usually makes shared material easier to act on.

After sending, the composer clears and the message appears in the conversation. The original cards remain in their existing Documents location.

Verify The Message And Access

Open the sent result as a reader would. This final check separates a successful Chat post from successful access to the underlying material.

Inspect the sent message - Confirm the explanation appears with the expected attachment previews, filenames, or document links.
Open each shared item - Select the attachment or link and verify that it opens the intended image, video, file, article, or app document rather than a similarly named item.
Check with an intended reader - Ask a participant who should have source access to open the shared material. If the conversation is visible but the item is not, check whether that person belongs to the source space, subspace, or activity.
Respect the access boundary - A Chat attachment or link does not bypass the source item's current rules. Someone without permission to the owning area cannot use the message as a route around that restriction.
Correct the audience, not the link - If readers need access they do not currently have, share material from an appropriate source area or ask the responsible space member to review access. Reposting the same link in Chat does not make it available.

Do not treat a visible message preview as proof that every conversation participant can open the source. The source area remains the access authority even after the message is sent.

If The Handoff Does Not Work As Expected

Several items appeared when you meant to share one - The card where you began belonged to a selected set. Cancel before sending, remove the unwanted composer items, or return to Documents and start from an unselected card.
Chat did not open while hovering - Keep the pointer in the Drop to chat handoff area long enough for the context switch. If the prompt disappears, return to the Documents grid and begin the drag again.
The wrong conversation opened - Press Escape before dropping, navigate to the intended activity's Documents area, and restart the handoff from there.
Only some documents reached the composer - Existing attachments and the message limit left room for only part of the selection. Review what was accepted, then share only the remainder separately.
Nothing was added - The composer may already be at capacity, the drag may no longer be active, or the Chat surface may not accept a drop in its current state. Remove unneeded attachments or restart from Documents.
A reader cannot open an item - The message did not grant access to its source area. Confirm that the reader is permitted to use the owning space, subspace, or activity before sharing the material again.

Finish With A Useful Conversation

The completed message should contain only the accepted material you reviewed, enough text for readers to understand its purpose, and links or attachments that open for people with the required source access. Documents remains the source of truth; Chat adds discussion without moving or duplicating the work.

Return to Documents for the module overview or read Sharing And Revisiting for other ways to connect people with existing work. Use Organizing Documents when the source itself belongs elsewhere, or follow Organize Documents And Folders for a complete reorganization workflow.
