Use this walkthrough to turn a crowded Documents area into a library that members can understand. You will inspect the current location, build a small folder structure, move the exact items that belong together, and verify both placement and access before cleaning up anything left behind. This guide is for space owners and members who see space-management controls. **The space-owner path is the dependable management path.** A member with space-management access may see move, rename, or folder co

Give a set of documents a clearer home without losing track of what moved or who can read it. This guide covers selection, folder creation, moving, and a final check from both locations.

Decide What Belongs Together

Start with a destination name and audience. A folder such as Approved assets explains what belongs there; a label such as Misc leaves the next reader guessing.

Space owners can complete ordinary document moves. If you see a management control but its action is refused, ask the space owner to finish it. Do not treat a disappearing card alone as proof that a move was saved.

•
Open the destination area - Choose the activity or subspace whose audience should have the material.
•
Create a folder if needed - Choose New β†’ New folder, enter a useful name, and confirm it appears.
•
Review the source - Open any folder you plan to move and inspect its descendants. The whole tree will inherit the destination area's access.

Build A Precise Selection

•
Choose individual items - Hold Command on macOS or Control on other systems while selecting cards. Use the same modifier to remove an item from the set.
•
Choose a range - Select an anchor, then hold Shift while selecting the other end of a visible range. Check the items between them.
•
Select a group visually - Drag a rectangle from empty grid space around the intended cards.
•
Review every highlight - Open the selected-set menu only after it contains the intended documents.

Review the complete highlighted set before choosing Move or Delete; the menu applies to both cards.

Dragging a highlighted card carries the whole selection. Start from an unselected card when only one item should move.

Move To The New Home

•
Use Move for an area destination - Open the item or selected-set menu, choose Move, and select an available destination in the current space.
•
Drop into a specific folder - Drag onto its card or an eligible folder row in the desktop tree. Look for accepted destination feedback before releasing.
•
Reach a deeper destination - Hover over a folder or activity to open it while retaining the drag, then finish the drop into the intended folder or Documents area.
•
Cancel an uncertain drag - Press Escape before accepting the drop if you selected too much or opened the wrong destination.

A folder cannot move into itself or one of its descendants. Items already in the destination are skipped. Ordinary moves stay within the same space; use Keep a personal copy for a separate version in My Docs.

Verify Before Continuing

•
Inspect the destination - Confirm each moved item appears, and check the descendants of any moved folder.
•
Return to the source - Identify anything still waiting to move instead of repeating the original selection.
•
Review access - When the move crosses areas, make sure the destination still serves the intended readers. The old area's audience does not follow the folder.
•
Retry only the remainder - Earlier successful moves remain completed if a later item fails. Work from the actual contents of both locations.

Rename And Remove Deliberately

Use Rename for titles that need more context. A name such as Launch brief - approved is easier to recognize later than Final. Renaming an uploaded file does not convert its format.

If you need to delete material, inspect it first. Deleting a folder affects its descendants. Raw files do not currently have Delete in their individual card menu, although a multi-item selection can include them in a bulk deletion.

A failed bulk deletion can also leave earlier items deleted. Check what remains before retrying. Neither a completed move nor deletion comes with a promised undo through these controls; Escape only cancels an active drag.

Your cleanup is finished when the new location contains the right material, the source no longer contains unintended leftovers, and the destination's access matches the work.
